Tax Guide for Gyms: VAT, Receipts and EFKA

Simple guide for gyms: KAD, VAT, receipts, EFKA, payments, expenses and what to discuss with your accountant.

Talk to an accountant first

An article can give you insight, but it is no substitute for an accountant. Every gym has a different business model, services, staff, payments and obligations.

The right goal is to know what to ask and what to have organized so that the accountant is not working with incomplete information.

KAD and form of business

The KAD shows the tax office what activity the company does. For a gym, pilates studio, or wellness center, it must match the services you actually provide.

If you add new services, such as personal training, seminars, products, or an online program, let the accountant know. A different treatment or extra activity may be needed.

VAT, receipts and packages

The big question in everyday life is simple: when does the customer pay and what receipt is issued. This should be clear for memberships, lesson packages, individual visits and private lessons.

Don't guess about VAT or how to issue receipts. Ask your accountant and make sure your platform follows the same logic every time.

myDATA and month agreement

myDATA makes clean logging more important. Payments, receipts, cancellations, returns and package changes should be shown in a way that the accountant can check.

At the end of each month, it is good to have a reconciliation: what was collected, what was issued, what was canceled and what was pending.

EFKA, staff and partners

Contributions and payroll depend on the type of business and whether someone works as an employee or as an external partner.

For trainers, instructors and secretaries, don't just rely on what you agreed to verbally. A proper contract, clear payment and proper record of occurrences or services are required.

Payments and methods of collection

Keep the payment methods clear: cash, card, bank transfer, IRIS or online payment. Each method must be linked to a proper receipt and shown in the client's financial picture.

If the studio accepts multiple payment channels but keeps them in different places, the agreement becomes difficult.

Expenses you have to organize

Keep business expenses organized: rent, bills, equipment, consumables, accounting services, marketing, insurance, team training and platforms you use.

The important thing is not only to have the output. It is that there is a document and that the accountant knows where it belongs.

Common mistakes to avoid

Errors that cause problems are usually everyday: a forgotten receipt, the wrong package to a customer, a payment without a clean record, a partner without correct documents or a change of service without notifying an accountant.

This is why a simple process is needed: every payment goes into the system, every change is noted and every month is closed with an audit.
